ChatGPT and Claude

Run the workshop by talking

Connect Paca to ChatGPT or Claude. Ask the assistant what's on tomorrow, tell it about a new job or dictate a quote, and it writes it all into Paca, with your rights and nothing more.

Try it

Say it the way you'd tell a colleague

Pick what you would say and see what the assistant does in Paca.

  1. Pick what you would say and see what the assistant does in Paca.

The conversation is prepared in advance. Nothing is sent anywhere.

By voice

When your hands are full

Turn on voice mode in the ChatGPT app and talk to the assistant as you would on the phone. Ask where you're going next and say what you used, without putting the tools down.

What it can do

Ask or tell it, the way you'd say it

The assistant works with your schedule, customers, materials, quotes and enquiries, just as you do in Paca.

  • Schedule

Reads the plan by day and by person, finds a free slot and moves a job. The people on the job get a notification.

    • “What's on tomorrow, and where?”
    • “Find a free slot for the Novak job.”
  • New jobs

Recognises the customer by phone, email or name, and adds a new one. A job with no date goes on the waiting list, not the calendar.

    • “Write down a job for the Kovačs, a dripping tap.”
    • “Book a visit at Kos's tomorrow at eight.”
  • Customers

Finds a customer by name, phone or address and tells you what you have done there before. When importing, it recognises who you already have.

    • “What did we do at Žabukovšek's?”
    • “Import these customers from the spreadsheet.”
  • Quotes

Drafts a quote with the prices you give it, and tells you which quotes are still waiting for an answer.

    • “Draft a quote from this list.”
    • “Which quotes are waiting for an answer?”
  • Materials

Adds to a job's materials list and logs what was used. Anything not yet in your catalogue is added on its own.

    • “Add 5 m of 3x1.5 cable to the list.”
    • “We used two tubes of silicone.”
  • Enquiries

Tells you what's new and turns an enquiry into a customer.

    • “Any new enquiries?”
    • “Make Nina Bregar's enquiry a customer.”
  • Invoices

Tells you who still owes and which invoices are overdue. It only reads invoices: you issue them in Paca.

    • “Who still owes us money?”
    • “Which invoices are overdue?”
  • Notes and crew

Writes a note on a job or a customer and decides who goes on a job.

    • “Note on the job that the valve has rusted.”
    • “Put Anže on tomorrow's job at the Kovačs' too.”

Safe

The assistant works as you, nothing more

You set up the connection yourself, by signing in and confirming. In Paca the assistant has your rights and no others.

Privacy
Your rights
It sees and changes only what you can. A crew member's assistant sees only the jobs they are on, and no prices.
Sends customers nothing
It does not send a quote, a message or an invoice. You do that in Paca, once you have checked everything.
Deletes nothing
It can move or cancel a job, but it cannot delete a customer, job, quote or invoice.
Your prices
A quote gets the prices you give it. It can tell you what you charged for the same thing last time.
One click to disconnect
When you connect, you choose whether it may only read. You end the connection in Paca's settings, any time.

Questions about the assistant

Privacy
What do I need?

A Paca account and ChatGPT or Claude. In ChatGPT, adding your own connection is on paid plans for now; in Claude it is under custom connectors. There is nothing to set up in Paca.

Does it work on my phone?

Yes. Once you add the connection, it is in the ChatGPT or Claude app on your phone too. In ChatGPT you can also talk to it.

What can the assistant see?

What you see in Paca, and nothing more: the schedule, customers, materials, quotes, enquiries and invoices. It cannot see photos or documents through the connection.

Can the assistant break anything?

It cannot delete anything and it sends customers nothing. When it moves or cancels a job, the people on it get a notification, as if you had done it, and you see every change in Paca.

Can my crew connect their own assistant?

Yes. Each person connects their own, with their own rights. A crew member sees only the jobs they are on, and no prices.

What language do I talk in?

Your own. The assistant answers in the language you ask in. The sign-in and confirmation screens are in Slovenian for now.

Where does my data go?

What the assistant reads from Paca is processed by the assistant's provider, OpenAI or Anthropic, under its own terms. Paca keeps a record of who connected which assistant, when and with which rights. The privacy page has more.

Where do I get help?

Write to us at support@pacahq.com. If the assistant does not work as it should, end the connection in Paca's settings and add it again.

How do I disconnect?

In Paca's settings, where the connected assistants are listed, press Prekini (disconnect). The assistant loses access at once, and you can connect it again any time.
